TEMP COVER FOR MATERNITY STARTING ASAP
The client - International Financial company
Location - Docklands
Role Purpose: To work as part of the Facilities team and deliver a wide range of administrative support.
Meet and greet clients and visitors. (offer refreshments and taking coats and luggage on arrival; announce the arrival of guests to internal staff)
Operate the Switchboard function, including receiving and transferring internal & external calls.
Ensure that Switchboard procedures and Information policy are adhered to at all times.
Monitor that adequate supplies of stationery are available at all times
Distribute visitor access passes as per the correct procedure
Manage meeting room bookings on Condeco
Coordinate catering requests for events in the office
Carrying out routine checks of the premises and equipment and report any faults accordingly
Support the training of new receptionists ensuring adequate contingency is arranged for holiday/sickness cover
Carry out reasonable tasks requested of you by a member of the Management team
Undertake overtime when requested providing reasonable notice has been given
Good interpersonal skills and ability to quickly form professional relationships with colleagues and clients at all levels of seniority
Ability to communicate effectively both verbally and in writing
Ability to use office computer systems including e-mail, spreadsheets and databases.
Maintains a positive attitude
Ability to work under own initiative and prioritise conflicting work demands
Accurate and exceptional attention to detail
Ability to understand and follow instructions and procedures
Flexible approach to working practices including providing cover for fellow team members
Understands and appreciates the importance of using discretion
Good IT skills (Word, Excel, MS Outlook). RSA Word processing/typing/or equivalent would be advantageous
Good communication skills, both verbally and in writing
Hours Split shift Monday to Friday, 8.00 – 16.00 and Monday to Friday 09:30 – 17:30 although flexibility with hours may be required on occasion
